GENERAL QUESTIONS

What is a "Motorvator" Board?

• How does the Metal Motorvator Board differ from the eBoard?
The Metal Board is a large display board that typically hangs on the wall in the sales room of a dealership. It is posted manually using magnetic numbers and nametags. The eBoard is based on the same Motorvator Board concept for measuring the performance of your sales team but it employs the universal accessibility of the Internet. The eBoard can also be used to facilitate the posting of your sales data to the Metal Board.

• Do I have to buy the Metal Motorvator Board and subscribe to the on-line eBoard for the Motorvator Board system to work?
No. The two systems can be used independently or in combination with each other.

• Can I subscribe to the eBoard without buying a Metal Motorvator Board?
Yes.

• How does the eBoard make it easier to post my Metal Motorvator Board?
The eBoard website automatically processes the sales data as you add it enabling you to post the sales results for your dealership to your Metal Board without having to perform the math of the scoring system manually. Just print out the "Printer Friendly Version" of your eBoard and use it as a guide to post your Metal Board quickly, easily, and accurately.

• Why should I consider purchasing a Metal Board for my dealership if I already subscribe to the eBoard?
The Metal Board provides a large format display of the sales results of your associates for your dealership.

• How do I order a Motorvator Metal Board for my dealership?

• How do the Motorvator Metal Board and the e-Board work together?
The two systems can work independently or as a compliment to one other. The eBoard is the online version for measuring the performance of your sales team. The Metal Board accomplishes the same thing and is often displayed in the sales room of your dealership. The Metal Board has been used by hundreds of U.S. dealerships for more than 30 years. The online version enables you to print your results and post to the Metal Board without any of the time-consuming math. It's as easy as hitting "print" on your browser screen.

• How can I order nametags for my Metal Motorvator Board?
Click on the "Order Name Tags" button on the home page or follow the link next to any sales associate's name when you select “Manage Sales Force” from the drop down menu.
CONFIGURING YOUR eBOARD

• Can I customize the column headings for my dealership's eBoard?
Yes. You can customize your eBoard to match the display needs of your dealership. You can add "Trucks", "SUVs" and even create a unique column name such as "Holdovers". During sign up, you will be given the opportunity to customize your headings. Note: the New, Used, Total Gross, Top Deal and Standing columns cannot be changed as they are part of the unique eBoard scoring system.

• Is there a limit to the number of column headings I can set up?
There is no limit, however we recommend the standard 8-10 columns for your eBoard. For current Motorvator Metal Board users, we recommend customizing your eBoard to match the columns in your Metal Board, although that is not required.

• How do I delete a sales associate from my eBoard?
Log into the system using your Input or Management level username/password combination. Select "Manage Sales Team" in the pulldown menu. Click the checkbox next to the particular sale associate you want to delete. You will see a prompt, confirming that you want to delete the user. Click "ok". The user is now deleted from your eBoard. The password for any of your dealership associates can be changed/terminated by management or tech support at any time.

A note about deleting sales associates: Deleting a sales assocaite simply removes the user from your sales interface and blocks his/her access to the eBoard. Any sales and historical data associated with this associate is saved to assure that your sales data will not be corrupted.

• How do I add a sales associate to the system?
Log into the system using your Input or Management level username/password combination. Select "Manage Sales Team" in the pulldown menu. Click the green plus-sign icon to add a new sales associate.
USING YOUR eBOARD

• What is the "Highlight-A-Name" feature and how does it work?
The unique eBoard "Highlight-a-Name" feature allows you to place the cursor on the name of a sales associate for an instant visual display of the associate's standing in every column. It's an excellent opportunity for the associate to compare his performance to the other sales associates in the dealership.

• How can I subscribe all my dealerships to the eBoard so I can take advantage of the eBoard statistical comparison of my dealerships?

• What is the "Statistical Summary" data?
This page shows the breakdown of vehicles by new/used, auto/truck, finance penetration, % of vehicles insured, % of vehicles sold with a warranty, gross profits as well as average gross profit. It's an excellent management tool to compare the performance of multiple dealerships under common ownership.

• How do I access my eBoard?
Your confidential sales data can be accessed from any Internet connection with your unique password. Whether you're at the dealership, at an off-site office, at home or traveling, you can view your sales data any Internet connection.

• How often is my sales data updated for my dealership?
Your sales data is updated instantly with every sale you post to your eBoard.

• How far back is my sales data retained in my eBoard?
Your sales data is retained indefinitely as long as you're a subscriber to the eBoard.

• What happens to my sales data at the beginning of each month?
Your eBoard will contain no data when you log on the first day of the month until you post your first sale. However, all your old data is stored indefinitely and can be viewed at any time from the "View Past eBoards" drop down menu on the eBoard.

• How will I change or edit a sales entry if the sale did not close?
The "Raw Sales Data" menu will allow you to edit or delete any sale you have input using the Input or Management level usrname/password combination for your dealership.

• Is there a limit to how much sales data I can store in my eBoard?
Storage capacity is unlimited.

• How do I access my data?
Just sign in each time with your username and password to view your live sales data.

• How quickly can I get online to view my sales data?
As with any other Internet web site connection, logging on to view your eBoard is immediate.

• Will the system allow more than one sales associate to view sales data for my dealership?
Yes, the Motorvator Board system is designed to allow multiple Sales Associates to log on at the same time.

• Will the system allow more than one input operator to input sales data at one time?
Yes, for the convenience of our subscribers, the Motorvator Board was designed to allow multiple input operators to log on simultaneously to the eBoard.

• How can I be sure my eBoard is themost current version of the Motorvator Board?
Every time you log on to your eBoard you will be accessing the most current version of the Motorvator Board. There is never any software to download, install or configure on your system.

• Can I access my sales data while traveling?
YES! A key feature of the Motorvator Board is that it allows you to view your sales data remotely from any internet location such as an off-site office, motels or hotels world-wide or from your home.

• How do we post sales data to our eBoard?
After the input password person has logged in, he/she will click on the "Enter Sales" drop down menu. The input screen will come up allowing the entry of a sale.

• Who has authority to input sales data?
That is a decision to be made by dealership management. We recommend that you choose 2-3 individuals to be given the "Input Level" user name and password. Each "Input" person will share the same user name and password.

• Can more than one input operator be inputting sales at the same time?
Yes. The Motorvator Board system is designed to accept multiple sales entries simultaneously.
PASSWORDS

• How does the password system protect my confidential data?

There are three levels of password security. The first, or "View Only" level, restricts sales associates to viewing sales data only to compare his/her performance with their peers. The second, or "Input" level, allows the input operators to post each vehicle sale to your eBoard as well as viewing all information the sales associates can access. The highest, or "Management" level of security, permits owners and senior management to access all data for their dealership including the first and second level security info. "Management" level can also view statistical summary information on sales penetration in several areas such as new, used, trucks, SUVs and finance penetration as well as warranty and insurance add-ons. Owners of multiple dealerships will be able to analyze statistical summary data allowing important comparisons between multiple dealerships.

• How are passwords assigned to my dealership personnel?

When you first sign up to subscribe to thee-Board, you will be prompted to fill in the names of all your sales associates and enter their user names. Their default password will be "password". The first time the associate logs in he will be prompted to choose a user name and password more easily remembered.

• How can we change the password for the input level person?

Only users with Management level username/password combinations are authorized to change Input level user information. If your dealership was assigned a Management level username/password, you can change the Input level person's password by selecting "Manage Sales Force" from the pulldown menu. Clicking on the Input level associate's name then selecting "Yes" to the right of "Force New Password". Then click "Update Associate". This will temporarily set the sales associates password to "password". The next time the user logs in, using the password "password", he/she will be prompted to create a new password.

If you were not assigned a Management level username/password, or are unsure, call 706-884-9962 and a technical service representative will promptly change it for you.

• How can we change password for a sales associate?

Only users with Input level or Management level username/password combinations are authorized to change user information. Select "Manage Sales Team" in the pulldown menu and change the associate's password by clicking on the Associate's name then selecting "Yes" to the right of "Force New Password". Then click "Update Associate". This will temporarily set the sales associates password to "password". The next time the user logs in, using the password "password", he/she will be prompted to create a new password.

• How do we delete an employee who leaves the dealership in order to block his/her access to our eBoard?

Depending on the security level the individual had access to, the individual with the next highest level of security would need to log in and delete that user from your eBoard. Select "Manage Sales Team" in the pulldown menu. Click the checkbox next to the particular sale associate you want to delete. You will see a prompt, confirming that you want to delete the user. Click "ok". The user is now deleted from your eBoard. The password for any of your dealership associates can be changed/terminated by management or tech support at any time.

• How can I be sure my confidential sales data is protected from unauthorized access?

The password protection system provides 3 levels of security for your confidential data however it is the dealership's responsibility to ensure that improper usage of passwords is monitored.

• To whom should we assign passwords among our dealership personnel?

We recommend that you assign "Viewer Only" passwords to all your sales associates. This will allow your sales team to view their sales performance among their peers in the eBoard at any time. Second level, or "Input" passwords, are restricted to persons who will be inputting each vehicle sale into your eBoard. The top, or "Management" level passwords, should be restricted to the owner(s) or a limited team of senior management.

The password security system is designed to allow you to grant access to your confidential data at varying levels. We recommend that you assign password to every sales associate so they can see their performance among the sales team at any time. Access at higher levels should be granted on a "need to know" basis. You may assign new passwords to any of your personnel at any time. If you're unsure about the process for administrating passwords, call our tech support hotline at 706-884-9962.

SCORING SYSTEM

• How does the Motorvator Board scoring system work?

The unique eBoard scoring system begins by ranking each sales associate in common columns which are configured by the dealership's sales management team at the beginning of each month. The associates are ranked in each column, by way of points accrued as a result of selling vehicles that meet that column's criteria (1 vehicle sale = 1 point, 1 split sale = 1/2 point). The points for each sales person are tallied up, and the column is then sorted in desceding order by points.

The positions of the sales associate in each of the columns are totaled in the far right column called "Standings". The sales associates are then ranked in ascending order. As in the game of golf, the leader has the lowest number of points (or highest sum of positions in ALL columns). The leader is then placed in the #1 position of the "Standings" column.

• How do split sales affect the scoring system?

If a sale is split by two associates, the "Total Gross" for that sale is divided evenly between the two associates. However, in a split sale, the associate who is to receive credit for the "Top Deal" should be entered first on the drop down menu when the sale is entered into the system. Credit for the "Top Deal" in a split sale is typically decided by the Sales Manager. Each associate will receive 1/2 point in the appropriate column for a split sale.

• What happens if there is a tie?

In the unusual event that there is a tie, MotorvatorBoard.com recommends that the dealership uses "Total Gross" as a tie breaker. Although this is not required (you could use any of the columns to break the tie), we have found that most dealerships find "Total Gross" to be a good tie breaker.


TERMS AND DEFINITIONS

eBoard: The on-line version of the Motorvator Board.

Metal Board: The familiar green board on your sales meeting room wall or your manager's wall to measure the performance of your sales team.

Top Deal: The salesman's single highest front-end gross profit deal for the month.

Insurance: A sale where A&H or Life Insurance was sold on the deal.

Finance: A deal where the sales associate was successful in controlling the financing for the vehicle.

Total Gross: An accumulation of the total front-end gross profits on all deals for the month.

Standing: The "Standing" column is where the overall top performer in your dealership is identified at the top of the column.

Metal Board:(hyperlink to pix) The original version of the Motorvator Board where salesmen's names are posted to a large metal board for viewing in a sales room.

eBoard: The new on-line version of the popular Motorvator Board that has been adapted for the Internet.

Split sales: If a sale is split between two associates, the gross profit is evenly divided between the associates and displayed in the "Total Gross" column. However, in the "Top Deal" column, the Motorvator Board scoring system requires that the gross profit be assigned to only one sales associate otherwise the size of the "Top Deal" would be cut in half and both associates would be penalized. The associate who is to receive credit for the "Top Deal" should be chosen from the first drop down menu in the "Enter Sales" page. This decision is typically made by the Sales Manager. Each associate will receive 1/2 point in the appropriate column for a split sale.

     example: Ralph and Bill work together and close a deal with a gross profit of $2,000, each will get credit for $1,000 in the "Total Gross" column. Because the "Top Deal" column is based on allocating the entire gross profit for each sale to one associate, the $2,000 must be assigned to a single associate. The Motorvator Board scoring system automatically assigns that $2,000 "Top Deal" to the sales associate’s name that is chosen from the first drop down menu on the "Enter Sales" page/form.
